How To Register your data in DUOS
Researchers are often motivated or required to share their data. DUOS enables researchers to register their dataset with a DUOS ID so it can be requested for secondary research use.
Step 1: Signing Official approval
In order to register your dataset in DUOS, you must be approved as a data submitter by your institution’s signing official. Please register in DUOS here: https://duos.broadinstitute.org/ and complete the User Onboarding Form. When you select that you would like to “Submit Data”, your Signing Official will be contacted for registration in DUOS.
Alternatively, you can email support@duos.org with your Signing Official’s email and the DUOS team will reach out to them for registration.
The DUOS team will then grant Signing Official (SO) permissions to your SO. Once this is complete, your SO can view their SO Console in DUOS. Within the SO console, they will be able to issue you the necessary permissions to submit datasets in DUOS!
Step 2: Complete the Add Dataset Form
Once you have been approved to submit data by your SO, you will be able to see your Data Submitter Console once you sign in to DUOS. This console will allow you to add new datasets and view any datasets that you have previously registered in DUOS. To add a new dataset, click on “Add a New Dataset”, which will redirect you to DUOS’ Add Dataset form.
When completing the Add Dataset form, you will be able to create multiple datasets with unique consents from a single study if needed.
Once you have completed the Add Dataset form, a notification will be sent to the DAC you select to manage the dataset, for them to confirm they will manage access to it.
Important notes:
- Note, that you will be unable to edit your datasets’ “Data Use” after completing the Add Dataset form due to auditability concerns.
- If you set Public Visibility to “visible”, the dataset will be visible in DUOS catalogs once the DAC accepts management of the dataset
- If you set Public Visibility to “hidden”, the dataset will still be hidden even after a DAC accepts management of the dataset
- Once a DAC accepts management of a dataset, you will no longer be able to edit dataset information, unless you work with the DAC to do so
Step 3: DAC Review
The DAC you have chosen will review your dataset and either approve or reject it. You will receive an email notification letting you know of the DAC’s decision.
If your dataset is approved and configured to be visible, it should now appear in the DUOS dataset catalog!
If your dataset is rejected, you can edit the information in your registration form and submit it to the same DAC for review. Alternatively, you can submit the dataset to a different DAC.
